This policy explains what information the ROAR Staff Scheduler (roarscheduler.com) collects, how it is used, and how it is protected. It applies to people who request appointments and to ROAR staff who use the scheduler.

Information we collect

When you book an appointment we collect the name, email address, phone number (if provided), affiliation, section, and any notes you enter, along with the appointment details (staff member, time, and format). Staff members provide their name, FMU email, optional phone number, availability, and profile information.

How we use it

We use this information only to schedule and manage ROAR appointments and auditions and to send you related notifications — confirmations, reminders, status updates, calendar invites, and messages between you and staff. Staff phone numbers and the phone numbers of people who opt in are used only to send appointment and audition text alerts.

Text messaging

If you provide a mobile number and opt in, we may send appointment-related text messages. Message frequency varies. Message and data rates may apply. You can reply STOP at any time to stop receiving texts, or HELP for assistance. Opting out of texts does not affect email notifications or your appointment. We do not share, sell, rent, or otherwise provide your mobile phone number or messaging consent (opt-in) information to any third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are never shared with any third parties.

Sharing

We do not sell your information. We share it only with the service providers that operate the scheduler on our behalf (database, email, text, and hosting providers) solely to deliver these services, and as required by law. Appointment details are visible to the assigned ROAR staff member and program administrators.

Data retention & security

Information is stored securely and kept only as long as needed to operate the scheduler and maintain program records. Access is limited to authorized ROAR staff.
